Gate121 Pty Ltd (ABN 89 091 964 331 / ACN 091 964 331), trading as ShiftMatch (“ShiftMatch”, “we”, “our”, or “us”), is committed to protecting your privacy in accordance with the Australian Privacy Principles (APPs) set out in the Privacy Act 1988 (Cth) and other applicable privacy laws, including Canadian privacy laws where relevant. This Privacy Policy explains how ShiftMatch, including its authorised Canadian reseller FillShift Inc., collects, handles, uses, stores, and discloses personal information obtained through its software platform and related services (collectively, the “Services”).
ShiftMatch is the proprietary software platform owned by Gate121 Pty Ltd and is made available in Canada via FillShift Inc., an authorised reseller. By accessing or using the Services, you signify your acceptance of this Privacy Policy and consent to the collection, storage, use, and disclosure of your personal information as described herein and in accordance with our Terms of Use.
2. Collection and Use of Personal Information
ShiftMatch does not require the collection of personally identifiable information (e.g. names, phone numbers, home addresses) to operate its core functionality. Instead, ShiftMatch uses non-identifiable unique identifiers such as payroll numbers, user IDs, and login credentials to support shift-matching and communications. In some instances, names, contact information, and employment-related data may be collected depending on the user’s role or employer-provided information.

User-provided Information: including registration details, contact data, business and employee details (as applicable), messages, and support communications.
Service-generated Data: including user activity, shift scheduling records, device interactions, and user preferences.
Third-party Sources: data from external platforms or systems, including payroll vendors or identity verification providers.
The collected information enables ShiftMatch to operate and improve the Services, communicate with users, fulfil technical support, and generate aggregated analytics. Communications may include transactional notifications, alerts, and optional promotional content, which users can manage through system settings.
3. Hosting and Security
ShiftMatch is hosted on Amazon Web Services (AWS) cloud infrastructure, a global provider that maintains security controls in line with internationally recognised certifications, including IRAP, ISO 27001, ISO 27017, ISO 27018, SOC 1, 2 and 3, and PCI DSS Level 1. ShiftMatch retains sole control over content managed within AWS infrastructure and applies additional security safeguards such as:
Content classification and encryption;
Role-based access controls;
Secure authentication protocols;
Monitoring and auditing mechanisms.
Despite our commitment to information security, no online system is entirely immune to risk. In the event of an actual or suspected breach, we will comply with applicable laws, including any obligations to notify affected individuals or organisations.
4. Cookies and Tracking Technologies
We, along with our third-party partners, use cookies and other tracking technologies (e.g., web beacons, pixels) to collect usage information and support user experience. These technologies help us:
Recognise devices across sessions;

ShiftMatch retains personal information only for as long as required to fulfil legitimate business or legal purposes. Following account deactivation or termination, records may be archived (e.g., for employer reporting). Users may request deletion or modification of their information by contacting us at help@shiftmatch.com. However, some data may be retained for audit or compliance purposes.

Control mobile app permissions through your device;

Please note: transactional system notifications (e.g. roster updates, system alerts) are essential and cannot be disabled.
9. Children’s Privacy
The Services are not directed to or intended for use by individuals under 13 years of age. We do not knowingly collect data from children under this age.
